Privacy Policy

RentWelcome is in early access. This page explains what we keep, what we never ask for, and how you can have your information removed. We keep it short and plain.

What we never ask for

We do not ask for your Social Security number, date of birth, bank account, card number, or voucher number. We do not ask about your race, color, religion, sex, national origin, disability, or who lives in your family.

We do not accept background check or credit report files. If a landlord needs a screening report, they must use a licensed screening company, not RentWelcome.

Documents when you apply

We only collect ID, voucher, and income documents when you apply to a specific home. They are shared only with that landlord, stored securely, never sold, and deleted automatically after 30 days. You can delete them sooner from your Applications page. You never need to upload anything to search or get matched. Please cover your Social Security number before uploading. We never store monthly income or Social Security numbers.

Monthly income you type into the renter search to estimate your share stays on your device and is never saved or sent to us.

If you join the waitlist

We store your name, email, optional phone number, whether you are a renter, landlord, or property manager, your city or county, and the number of bedrooms you need. We use it only to tell you when RentWelcome opens in your area.

If you make an account

Renters, landlords, and caseworkers give a name, email, phone number, and password. Renters may also add the voucher program they use, their voucher bedroom size, the county they want to live in, household size, and the date they hope to move.

Only you can see your own profile. A landlord sees your name, phone, and voucher details only after you send them an application for one of their homes.

The rent estimator and affordability help

Everything you type into the rent estimator, including your monthly income, stays in your web browser. It is never sent to us and never saved.

The affordability page sends your numbers once to write your answer, then throws them away. Nothing from it is stored or linked to your account.

Applications and messages

An application and the messages that follow it can only be read by you and the landlord of that home. Nobody else on RentWelcome can see them.

For your safety, messages asking for wire transfers, gift cards, payment apps, or a deposit before you see the home are blocked automatically.

Home photos

Photos landlords upload are kept private. They are shown only on homes that are actively listed, and each landlord can always see their own uploads.

Caseworkers and their clients

A caseworker can save a client's first and last name, voucher program, voucher bedroom size, county, and their own notes. Only members of that caseworker's team can see those records.

When a caseworker shares homes with a client by link, the link shows only the client's first name and the homes that were picked. The caseworker can turn the link off or replace it at any time, and the old link stops working right away.

How we use your information

We use it to run the service: to match you with homes, to pass your application to a landlord, and to contact you about RentWelcome. We do not sell your information and we do not use it to build advertising profiles.

How long we keep it

We keep your account information while your account is open. Waitlist entries are kept until we launch in your area or you ask us to remove them. When you ask us to delete your account, we remove your profile, applications, and messages.

Your choices

You can see and change your own information any time you are signed in. You can ask us for a copy of what we hold, ask us to correct it, or ask us to delete it using our Delete My Data page.

Keeping it safe

Your information travels over an encrypted connection and is stored with rules that only let the right person read each record. No service can promise perfect security, so please use a strong password you do not use anywhere else.

Children

RentWelcome is for adults. We do not knowingly collect information from anyone under 18.

Changes to this policy

If we change how we handle your information, we will update this page. Big changes will be announced on the site.

RentWelcome is an independent service and is not affiliated with HUD or any public housing agency.
